Scrub Production Progress Report Template: 10 Fields for Accurate Order Updates

A scrub production progress report template should tell a buyer what has been completed, what remains and which decisions could affect delivery. A message saying production is almost finished leaves too much unclear: it may refer only to cutting, one garment in a set or work that has not passed the required quality review. This ten-field structure keeps quantities, milestones and exceptions connected to the order. The examples show how to avoid double-counting garments across stages and how to distinguish an observed result from a forecast that still depends on unresolved work.

What a scrub production progress report template should establish

Begin with a common reporting basis. The QIMA production monitoring overview describes checking production status and material inventory. A scrub production progress report template can organise those facts alongside the order’s agreed milestones, without implying that a factory update is an independent inspection. Our scrub sets require coordinated tops and trousers, so the report should identify each garment and the matching quantities needed for the final delivery.

Keep the data source visible. SAP’s production monitoring guidance describes production confirmations associated with recorded task quantities or duration. The useful principle is that a progress figure should connect to a defined production record. The reporting structure does not require a particular software product. It should identify the source of each important quantity and the reporting cutoff, so the buyer understands which work is included and which later activity is not yet reflected.

Use the following structure for each order, with separate rows or supporting details for the relevant style, colour and size groups. A scrub production progress report template should remain readable enough for a daily production update while retaining the evidence needed to investigate a discrepancy. Our purchase order guide supports keeping the commercial reference consistent. The table lists information to complete; it does not supply actual production figures or promise that every stage is ready when another stage is complete.

Field Information to enter
1. Report identity Order, revision, reporting cutoff and preparer
2. Product scope Style, garment, colour, size group and quantity unit
3. Approved quantity Current order quantity and authorised changes
4. Material readiness Available, approved and outstanding inputs
5. Stage quantities Cut, sewn, quality accepted and packed totals
6. Quality exceptions Held, rework and rejected quantities with references
7. Milestone comparison Planned versus actual progress at the same cutoff
8. Constraints Issue, affected work and supporting evidence
9. Recovery and forecast Action, owner, dependency and revised outlook
10. Release readiness Remaining approvals, packing and shipment conditions

Fields 1–3: Fix the identity, scope and quantity basis

Identify the order and current revision before entering a percentage. A scrub production progress report template should show the reporting cutoff and the time basis agreed between the buyer and factory. A report prepared later can still describe an earlier cutoff, so distinguish the two where relevant. Record whether the quantity is individual tops, individual trousers, matched sets or another defined unit. Our change management guide supports connecting authorised quantity changes with the current order baseline.

Use separate garment quantities when a set has unequal progress. If 600 tops and 450 matching trousers are ready, the maximum possible matched quantity is 450 sets only if the sizes, colours and other requirements align. A scrub production progress report template should not report 1,050 sets or assume every top can match every trouser. Our assortment planning guide supports keeping those combinations visible. This is an illustrative quantity example, not an order minimum or a statement of available factory stock.

Field 4: Report usable material readiness

Distinguish material received from material approved and available for the relevant operation. A scrub production progress report template should identify missing fabric, trims, labels or packaging that can restrict the order. Our bill of materials guide helps connect each input with its intended garment or pack. A full fabric delivery does not establish readiness if a required label remains unapproved. Record the affected styles and quantities rather than use a single material ready status for an order with several different inputs.

Make the dependency specific enough to act on. If the remaining trousers require a particular approved elastic, state which quantity is affected, what remains to be confirmed and who is responsible for the next step. The material update should avoid an optimistic completion forecast that assumes an unresolved material issue has already disappeared. Our substitution approval guide supports assessing proposed alternatives. The progress report should reference an approved decision rather than quietly replace the specified material in its planning assumptions.

Field 5: Keep daily and cumulative quantities separate

Daily output describes the work completed during the reporting period; cumulative output describes the total completed through the cutoff. A scrub production progress report template should label both clearly if both are used. For example, 480 sewn tops recorded previously plus 120 newly sewn tops gives 600 cumulatively sewn tops, assuming no adjustment to the earlier record. If the previous quantity is corrected, show the adjustment separately. Do not change yesterday’s number silently and leave the buyer unable to reconcile the current total.

Cutting status, sewing status and packing status usually describe different stages reached by some of the same garments. In an illustrative order of 1,000 tops, 800 cut, 600 sewn, 550 quality accepted and 500 packed must not be added to claim 2,450 garments produced. A scrub production progress report template should state whether its stage totals are cumulative completions. In that example, the 500 packed items are already included in the earlier stage totals, assuming the workflow and acceptance records support that relationship.

Use a named completion measure. With 500 packed tops against an order quantity of 1,000, packed completion is 50 percent. That does not mean every other order requirement is 50 percent complete or that shipment is authorised. Our bundle tracking guide supports reconciling the underlying work. If the team reports work currently waiting at each stage instead, label those figures as a separate stock snapshot. Mixing stage inventory with cumulative stage completion makes the report difficult to interpret.

Field 6: Keep quality exceptions visible

A quality hold should remain identifiable even when sewing has finished. A scrub production progress report template should show the affected quantity, reason, action reference and current decision. Our inline inspection guide supports separating containment, correction and verified release. A repaired garment is not automatically accepted until the relevant review has occurred. Avoid including held items in an accepted or ready quantity unless the report clearly explains the definition and the order’s release process permits it.

Prevent duplicate counting when an item moves through rework. The quality record should distinguish a reworked garment from a newly produced garment. If the same top is inspected twice, it remains one top in the order quantity even though two inspection events occurred. Record rejected material or replacement components in the appropriate supporting record. The report should explain the final accepted quantity without turning every repair or recut into extra completed output.

Field 7: Compare milestones on a consistent basis

Planned versus actual progress is meaningful when the units, stage and cutoff match. A scrub production progress report template should compare planned sewing completion with actual sewing completion, rather than compare a packed target with a cutting figure. Identify the relevant production milestone and retain the original agreed baseline when a forecast changes. Our capacity planning guide supports discussing the resources allocated to the actual order. Nominal factory capacity does not establish the capacity available to every style on every day.

Calculate remaining quantity from the stage being assessed and explain any exception. If 600 of 1,000 tops have completed sewing, 400 remain to reach sewing completion under that baseline. Some of the 600 may still need quality review or rework, so they should not automatically become the shipment-ready total. A scrub production progress report template should preserve those distinctions. Where several colours or sizes have different progress, show the groups that affect completion instead of presenting an average that hides an unfinished assortment.

Fields 8–9: Connect constraints with a realistic forecast

Describe each material constraint with its effect and next action. A scrub production progress report template should identify the affected operation, quantity, responsible function and evidence needed to resolve it. Our contingency planning guide supports considering a practical recovery action. A statement such as will recover tomorrow is incomplete without the conditions that make it possible. The action should explain whether it addresses a material shortage, rework queue, approval delay or another specific limitation.

Keep forecast completion separate from observed completion. A scrub production progress report template should identify the assumptions supporting the forecast and what could change it. If a revised plan depends on an approval, material arrival or confirmed production allocation, retain that dependency until it is resolved. Do not overwrite the original milestone and present the new forecast as though no change occurred. A useful update tells the buyer what has changed, why it changed and which decision can still influence the outcome.

Field 10: Separate production completion from shipment readiness

Shipment readiness includes the relevant quality, packing, documentation and release requirements, not just the sewing total. A scrub production progress report template should name the remaining conditions before delivery can proceed. Our final inspection report guide and export order checklist support those reviews. A completed production milestone should not be interpreted as a confirmed vessel departure or arrival date. Freight arrangements and transit belong in the associated shipping plan.

Agree the reporting structure before the bulk run and use it consistently through closure. Send your style list, size assortment and required delivery information with a manufacturing enquiry. Ask which records will support the updates and which exceptions require immediate attention between routine reports. The finished report should let the buyer reconcile quantities, recognise an unresolved issue and understand the next action. Clear definitions make even a concise update more useful than a long message full of unsupported completion percentages.
